Summary: Individuals who are temporarily teaching, doing research with faculty, or have a valid academic reason (as determined by the Guest UCInetID Administrator) can obtain a guest UCInetID with sponsorship from the collaborating faculty. Qualifications for Guest Membership

To become a UCI guest, you must meet the following qualifications:

  • You must be connected with UCI in some way, such as a visiting academic, volunteer faculty/staff, research, or other campus affiliate.
  • You cannot be a current faculty or staff member at UCI.
  • You cannot be a regular student at UCI.
  • You must have a sponsor who is a valid faculty or management-level staff member at UCI, with whom you are working who will be responsible for you.

If a Guest becomes a student or faculty/staff member in the future, their guest entry will be automatically converted to the new type. Guests may have the same privileges as faculty/staff, including an e-mail account, access to Library services, and other campus services.

Guest Application Procedures

To apply for a guest UCInetID, follow these steps:

  • Guest Application Form
    This PDF file is used to apply for a guest UCInetID. Fill in the fields using Adobe Acrobat Reader, then print it, sign it, and fax it to the number listed at the top of the form.
  • Application Data
    You may read a description of the fields on the guest application form.
  • Have your Sponsor sign their name at the bottom of the form. Make sure the sponsor's UCInetID is included - this is required to complete the guest application.
  • Submit the form to one of the following:

Once your Guest Application has been processed, your will be assigned a UCInetID and a Guest ID Number. The Sponsor will be notified via email when the Guest ID Number and UCInetID have been assigned. The NACS Reponse Center or your Sponsor can inform you of your UCInetID and ID Number once it has been assigned. This information is important, so remember them or keep them in a safe place.

Your UCInetID must be activated before it can be used. The activation process allows you to identify yourself and set a private password for your UCInetID. Your Guest ID Number is required to activate your UCInetID. For more information, see the UCInetID Activations section on the NACS Home Page.

As a member of the UCI and worldwide electronic community, you are expected to follow UCI's Computer Use Policy. Activating your UCInetID signifies acceptance of this policy.

Quarterly Sponsor Renewal Process

Guests are sponsored on a quarterly basis, for a maximum of 4 quarters at a time. Just as Sponsors are responsible for approving a Guest, they are also responsible for renewing a Guest for continued tenure.

Approximately one month prior to the end of each quarter, all guests are reviewed for possible expiration. Each sponsor will receive an email that will instruct them on how to renew or expire their guests.

The Sponsor must review the list of guests they sponsor, and selectively mark each one individually, in order to continue sponsorship. By default, all guests will be marked 'Expired', so the sponsor is forced to take action to renew a guest. Guest may be renewed for up to 4 quarters, just like the original application process. Both Guests and Sponsors will be notified about the upcoming expiration.

Updates to Guests

If a guest has become an employee according to Payroll, or has become a student according to the Registrar, their guest record will be converted from a guest to the appropriate type, student or person.

Finally, if a student or employee that was once a guest loses their student or employee status, they will be converted back to a guest for one quarter. From that point, the quarterly renewal process takes over again.
